An AI employee that reads incoming requests, files them, checks bookings and orders in your systems, and asks a person when something is missing.

Emil
AI back-office clerk
On a task
Reads incoming requests and files them where they belong
Checks bookings and orders in the systems you connect
Answers routine questions from the handbook
Asks a person when something is missing
Keeps a log of what was done and what is still open

Behind every order, booking and request there is a stretch of routine: find it, check it, file it, tell someone. A back-office clerk does that stretch, in the systems your company already uses, and leaves the exceptions to people.

Reading the shared inbox

Emil reads the orders mailbox. A confirmed order is filed and acknowledged with the standard reply. A booking request is checked against the calendar and answered with the available times. An invoice query is matched to the order it refers to and passed to accounts with the facts attached. A message that fits none of the handbook’s cases goes to the person named for that, with a note of what was unclear.

Checking, not deciding

The clerk checks that a booking exists, that an order has the quantities the customer named, that a delivery date is the one in the system. When something does not match, it says so to the person responsible and waits. It does not change prices, cancel orders or make exceptions to the handbook; those are decisions, and decisions stay with your people.

A record you can read

Everything the clerk did is on record: which message, what it did with it, what it asked and whom. Its manager reads the day’s summary the way they would read a note from a remote colleague, and corrects the clerk in plain words when something should be handled differently next time.

Questions about this role

Which systems can the clerk work in?

Mailboxes and calendars on Google Workspace and Microsoft 365 to start with. Other systems are connected from Telmivo's catalogue as it grows; each connection is granted by an administrator of your company and can be withdrawn.

What does it do with a request it does not understand?

It asks. The request is passed to the person your handbook names, with a note of what was unclear. The clerk never guesses on the company's behalf.

Can several teams share one clerk?

Yes. The role's handbook says which mailbox belongs to which team and where each kind of request goes. A larger company may prefer one clerk per team, each with its own manager.
