Needs you
Keeps the director's calendar and confirms meetings
Sorts the inbox and drafts the replies
Remembers preferences, such as how the director likes to travel
Prepares bookings and sends them for approval
Briefs the director by phone, on the way to a meeting

A director’s day is made of other people’s requests. The PA’s job is to turn them into a calendar that holds, an inbox with drafts waiting, and a short briefing when there is time for one.

Email

Dora reads the inbox as it arrives. Newsletters and notifications are filed. Requests that have a clear answer get a drafted reply in the director’s tone, waiting for approval. Requests that need the director’s judgement are summarised in one line each, with the draft that would go out if the director agrees. The director approves, edits or declines; the PA learns from the edits.

Calendar and travel

Meeting requests are checked against the calendar and the director’s rules: no meetings before nine, Fridays kept free for the plant visit. A slot is proposed to the other side and confirmed when they accept. Travel is prepared the way the director likes it, as a booking that waits for approval with the price and the alternative.

By phone

On the way to a meeting the director calls Dora. What is on this afternoon, did the bank reply, draft a thank-you to yesterday’s visitors. The PA answers from the calendar and the inbox and prepares what was asked.

The rule that never changes

The PA prepares. The director decides. Any action that commits the director or the company, an email that goes out, a booking that costs money, a meeting accepted on the director’s behalf, waits for approval. On probation the manager signs off everything; afterwards the role’s authority decides what it may do alone, and approvals remain for the rest.

Questions about this role

Can the PA send an email on the director's behalf?

It drafts the reply and asks for approval. The director approves it, edits it first or declines. Nothing leaves the mailbox without that decision, and the rule cannot be switched off.

Can the director talk to it by phone?

Yes. The director calls the PA's number and asks what is in the calendar, what came in by email, or dictates a reply to be drafted. The PA recognises the director's number and speaks the director's language.

What does it remember?

Preferences the director states, such as preferred airlines, usual meeting lengths or who may be put through at any time. They are kept in the role's memory and can be read and changed by the director.
